Using PadInspector
The Web Portal
The web portal is your office. Use it to see everything at a glance, manage inspections, and refine areas and findings — then head to Reports & Sharing to deliver the result.
Signing in & getting around
Sign in with your PadInspector email and password. On the left is a sidebar with the main areas of the portal; the top bar shows your company and a menu for your profile, settings, and sign out.
- Dashboard — your at-a-glance overview.
- Inspections — the full list of active inspections.
- Archived and Trash — inspections you have set aside or removed.
- Settings — profile, team, company, areas & checklists, reports, billing, password, and support.
- Admin Portal — only visible to platform super admins.
Dashboard
The dashboard summarizes your activity with cards for total inspections, completed this month, in progress, and total findings (with an average per inspection). A chart shows your inspection activity over time, and a Recent Inspections list lets you jump straight into any recent job.
Browsing inspections
The Inspections page lists your active inspections with search and filters:
- Search by property address, city, or inspection notes.
- Filter by status — Scheduled, In Progress, Completed, or Cancelled.
- Filter by owner (for owners, admins, and managers) to see a specific inspector’s work.
- Filter by date range.
Each row shows the property, type, status, owner, who it is shared with, created date, and client, plus a per-row menu to archive or trash it. Create a new inspection with the New Inspection button.
Bulk actions
Select one or more inspections with the checkboxes to act on them together:
- Archive and Trash from the active list.
- Restore from the Archived page.
- Restore and Delete Permanently from the Trash page.
- Reassign and Share (owners, admins, and managers) — each opens a picker to choose the team member.
Creating an inspection
- 1Click New Inspection. Start typing the street address — once you have typed at least five characters, autocomplete suggests U.S. addresses and fills in the city, state, ZIP, and county for you. Address, city, state, and ZIP are required.
- 2Pick the inspection type: Full Home (the default), Pre-Purchase, Pre-Listing, New Construction, Warranty, or Re-Inspection — and, if you like, a scheduled date (it is optional; you can set it later).
- 3Optionally add property details — year built, square footage, stories, house facing, and basement/garage/pool flags.
- 4Optionally add residence photos by clicking to browse or dragging and dropping (JPG, PNG, WebP, or HEIC).
- 5Optionally add the client’s name, email, and phone, plus any notes.
- 6Save — you land on the new inspection’s detail page.
Working inside an inspection
Status & actions
Open an inspection to see and edit everything about it. At the top you can Start or Complete it, Generate Report, and — for managers and above — Reassign it to a teammate or Share it with specific team members.
Details you can edit
- Property address, city, state, ZIP, and county
- Inspection type and scheduled date
- Client name, email, and phone
- General notes, weather, and recent precipitation
- Property details: year built, square footage, stories, house facing, and basement/garage/pool flags
- Residence photos — the Upload button opens a file picker (you can select several at once)
The Edit Areas button manages which rooms are part of the inspection. Areas are grouped into Standard and Additional — drawn from your area catalog (Settings → Areas) — plus a Custom Areas section where you can type any name to add a one-off room; custom areas start without a checklist. Each row has a checkbox and a +/− stepper for repeated rooms (for example, Bathroom ×2). Reducing a count removes the most recently added area of that type along with its findings and photos.
Areas & findings
Each area lists its findings and progress. Expand an area to add findings, upload photos, record by voice, and edit area notes. When you add a finding you can fill the form yourself (title, description, severity, code reference, location, recommendation, notes) or switch to prompt mode and let the AI draft it from a plain-language description. Editing an existing finding uses the form directly.
Recording by voice in the browser
Each area has a Record button that uses your computer’s microphone (your browser will ask for permission). A counter shows the elapsed time while you talk; when you stop, the AI transcribes the audio and creates findings automatically — with severities and code references — and applies any area notes you dictated. One area can record at a time. If no findings are detected you’ll see the transcript, so you can retry or add findings manually.
Photos
Every area has two photo strips: Area Photos (included in report) and Orphaned Photos (not in report). Click any photo to open a dialog where you can link it to a finding, move it between area, orphaned, and finding, or delete it. Deleting a finding that has photos asks whether to orphan the photos (keep them in the area) or delete them too.
Archiving, trash & deletion
- Archive moves an inspection out of your active list while keeping it fully intact. Restore it any time from the Archived page.
- Trash is a recycle bin — trashed inspections are scheduled for permanent deletion 30 days after being trashed, and the Trash page shows each item’s deletion date. Restore or permanently delete before then.
- Delete Permanently (from the Trash page) is available to owners, admins, and managers, and always asks for confirmation — it cannot be undone.
