Using PadInspector

The iOS App

The iOS app — optimized for iPad, and also available on iPhone — is where you run inspections. It works fully offline and syncs when you are back on a connection.

Getting set up

Installing & signing in

  1. 1Install PadInspector on your iPad or iPhone from the link provided with your invitation (TestFlight during the beta).
  2. 2Open the app and sign in with your PadInspector email and password.
  3. 3Grant microphone and camera permissions when prompted — they are required for voice capture and photos.
Tip: An iPad is the recommended device: it shows your inspection list in a sidebar with the inspection open alongside, so your live checklist and findings sit side-by-side while you record. On iPhone the app runs in portrait, with the area screen organized into collapsible sections (Live Transcript, Findings, Checklist, Area Photos).

The onboarding tour

The first time you sign in, a short interactive tour walks you through the whole flow: creating an inspection, setting up areas, recording by voice, watching findings appear live, attaching photos, switching areas, and generating the report. You can skip it at any time.

Tip: You can replay the tour later from Settings → Support → Show App Tour.

Your inspection list

The home screen lists all of your inspections. Each row shows the address, a status icon, the number of areas, and — for in-progress jobs — a progress bar of completed areas.

  • Search by address or client name.
  • Filter with the pills across the top: All, Scheduled, In Progress, Completed, or Reported.
  • Pull down to refresh the list from the server.
  • Row menu (⋯): Start or Complete an inspection, Mark Incomplete (on a completed one), or Delete it.

Starting a new inspection

Creating the inspection

  1. 1On the inspection list, tap the blue + button.
  2. 2Enter the property address. Address autocomplete fills in city, state, ZIP, and county for you.
  3. 3Optionally add property details: year built, square footage, stories, house facing, style, foundation type, and flags for basement, garage, or pool.
  4. 4Optionally add weather and recent precipitation — or tap the cloud-sun button next to the Weather field to auto-fill current conditions (temperature, condition, humidity, wind) and the last 3 days of precipitation using your device location.
  5. 5Optionally add client name, email, and phone (you can add these later).
  6. 6Save. The inspection is stored on the device immediately and syncs to the portal when you are online.

The inspection dashboard then shows the address, status, timestamps, client info, and a progress bar of completed vs. total areas, along with buttons to edit areas, start the inspection, edit details, and generate the report. A Residence Photos section lets you add overall shots of the property (like the front exterior) with the Add Photo button — take a new photo or choose existing ones from your photo library (handy for drone or aerial shots). Tap any photo to view it full-screen or delete it.

Setting up areas

Areas are the rooms and zones you will inspect — Kitchen, Bathroom, Attic, Basement, Garage, Exterior, and so on. Each area comes with a building-code-aligned checklist, drawn from your area catalog (which you can customize under Settings → Areas & Checklists).

  1. 1From the inspection, open Edit Areas.
  2. 2Check the areas you want to include. Each shows an icon and its number of checklist items.
  3. 3For rooms that repeat, use the +/− stepper to set a quantity (for example, Bedroom ×3).
  4. 4Need a room the list doesn’t have? Type any name in the Custom Areas section. Custom areas start without a checklist, but voice notes and AI findings work as usual.
  5. 5Save your selection.
Tip: You do not have to plan everything up front — use "+ Add Area" during the inspection to add a room on the fly without leaving your flow.

Voice capture

Voice is the heart of PadInspector. Enter an area, tap the large microphone button, and start describing what you see. The button turns red while recording.

What happens while you talk

  • Live preview: your words appear on screen in real time using on-device speech recognition, so you can confirm you were heard.
  • Findings appear as you talk: as you describe issues, the AI extracts findings and lists them alongside your checklist, tagged with a severity and, where applicable, a building-code reference.
  • Checklist auto-check: speaking about an item can automatically check it off (for example, mentioning insulation R-value checks the insulation item). You can always tap to check or uncheck manually.
  • Area notes fill themselves: describing the room itself (say, its location or condition) can populate the area notes automatically.
  • Hands-free: keep your eyes and hands on the property; you do not need to type.

Processing modes

In Settings you can choose how often your speech is turned into findings — process the whole area at once when you stop (the default), on natural pauses, or on a timed interval. When you have a connection, audio is sent for high-accuracy transcription and analysis; offline, on-device transcription keeps a draft transcript going, which syncs when you reconnect.

Voice commands

A couple of spoken phrases control the app itself, so you never have to touch the screen mid-inspection:

“Scratch that”
Undoes the last finding the AI created.
“…looks good”
Saying an item looks good checks it off as serviceable.
Note: Voice commands are handled by the AI as it processes your speech, so they work while you have a connection.

Moving between areas

  • Swipe left or right to move to the previous or next area.
  • Tap the area title to open a dropdown of every area, with completion checkmarks and “X of Y” progress — jump straight to any room.
  • Add Area from that same dropdown to create a new area and go straight to it.

Taking photos

Photos are stored on the device immediately and upload automatically when you are online, so a weak signal never blocks you.

Capturing & attaching

  • Tap the camera button in the bottom bar to take a photo. It is saved as an area photo — or, if Auto-Attach is on, queued for the next finding you create.
  • Long-press the camera button for options: attach the photo to the finding you just created, queue it for the next finding, save it as a general area photo, or add existing photos from your photo library.
  • Add from Library (in the long-press menu) opens your photo library — no permission prompt needed — where you can select up to 10 photos at once (drone or aerial shots, photos taken outside the app, screenshots). Imports land in Orphaned Photos, ready to move to the right finding or the area.
  • Every finding card has its own camera button that shoots directly into that finding.
  • Photos taken while recording are linked automatically to the finding you were speaking about closest in time (within about 15 seconds).
  • Auto-Attach (optional): turn on “Auto-Attach to Next Finding” in Settings so new photos queue for the next finding created within a time window you choose. Queued photos show in a purple Pending strip with a live countdown; when a finding is created they all attach at once, and when the window expires they move to Orphaned Photos.

Managing photos

Photos that are not attached to a finding show up as area photos or in an “orphaned photos” section, where you can reassign them to the right finding later. Tap any thumbnail to view it full-screen.

Coming soon: Automatic AI analysis of photos (detecting issues directly from an image) is planned for a future release.

Findings & checklists

Every issue you document becomes a finding. Findings can be created automatically from your voice, from the checklist, or added manually.

What a finding contains

  • A title and description of the issue.
  • A severity — a Problem (needs attention) or a Serviceable item (minor / for your notes).
  • An optional building-code reference (IRC, NEC, and Michigan state codes).
  • Any photos attached to it.

Findings the AI is less confident about appear with an orange dashed “Needs Review” outline and a Confirm button — glance at them and confirm (or remove them) before you complete the area.

Working the checklist

Each checklist item has two buttons: a green checkmark to mark it serviceable and a red X to mark it a problem. Tapping either one checks the item off and creates a matching finding. Deleting that finding unchecks the item again — the checklist and your findings always stay in step.

If an item doesn’t apply to this property (say, a fireplace item in a home without one), tap the row itself — away from the two buttons — to mark it N/A. The item grays out and drops out of the area’s checklist count; tap it again to bring it back.

Editing and adding findings

  • Tap a finding to expand it. On the app you can add a photo, flip the severity between Problem and Serviceable, record extra detail, or remove it.
  • Add Detail: records a voice note just for that finding — the main area recording pauses, you elaborate on the issue, and recording resumes. Great for digging into one problem without losing your place.
  • Delete: remove a finding; you will be asked what to do with any attached photos.
  • Add manually: tap “+ Add Finding” and either fill in the details yourself, or type a short prompt (like “electrical issue under the sink”) and let the AI write the full finding for you.
Note: Full text editing of a finding — rewriting its title, description, or code reference — happens in the web portal, where every field is editable. The app is optimized for capture; the portal is where you polish.

Area notes

The banner at the top of each area (“Tap to add area details…”) opens the Area Notes editor for anything you want to record about the room as a whole. The AI can also fill these in from your speech — describing where the room sits or its overall condition lands in the notes automatically.

Completing areas & the inspection

Completing an area

  1. 1When you are done in a room, stop the recording and give any “Needs Review” findings a quick confirm.
  2. 2Tap the green Done button.
  3. 3A summary bar shows the area’s counts — Serviceable, Problems, and Needs Review — and the app automatically advances to the next incomplete area. (Rather stay put? Turn off Auto-Advance Areas in Settings.)
  4. 4Changed your mind? Completed areas show an orange Undo button so you can reopen them and keep working.

Completing the last area marks the whole inspection complete. When you are online, the app also runs a final AI problem scan across the full transcript to catch anything mentioned in passing that didn’t become a finding.

Generating the report

  1. 1From the inspection, tap Generate Report. If some areas are still unfinished you’ll see an “Incomplete Areas” alert with the count and a Generate Anyway option.
  2. 2The AI analyzes every area and finding and drafts the full report — this can take up to a minute. If generation fails, tap Try Again.
  3. 3Preview the report right inside the app — cover page with your branding, an executive summary, per-area sections with findings and photos, and a code reference appendix. View Full Report and the PDF open in a full-screen viewer you can dismiss when you are done.
  4. 4Tap the share button in the toolbar to download the PDF and send it with the standard iOS share sheet — AirDrop, Messages, Mail, or save to Files.
Note: Report generation needs an internet connection — it is not queued while offline. If you are somewhere with no signal, generate the report once you are back online.

Working offline & syncing

PadInspector is offline-first. In a basement with no signal you can keep working, and everything catches up when you reconnect.

What works where

Works fully offline

  • Photo capture and tagging

Needs a connection

  • High-accuracy transcription, AI findings & checklist auto-check — these run while you are connected. Speech captured offline keeps its on-device draft transcript, which syncs when you reconnect, but it is not turned into findings automatically — lean on the checklist and manual findings for offline work.
  • Report generation — run it once you are back online (it is not queued).
  • Editing an existing inspection’s details — the Edit Inspection form saves directly to the server.

A sync indicator in the top corner shows whether you are fully synced, actively syncing, or have changes still pending. Tap it to see connection status, the number of pending changes, the last sync time, and a manual sync button. Items that fail to sync are retried automatically a few times; if something still can’t get through, the indicator turns red with a failure count and a one-time banner offers to Review — the sync panel shows each failed item with its error message and a Retry Failed button to push them through.

Reviewing work captured offline

After an area you inspected offline finishes syncing, a “Review” sheet appears for it so you can reconcile what the AI produced with what you logged by hand:

  • See the AI’s findings, your manual findings, and your photos side by side.
  • Where a manual finding overlaps an AI one, choose Merge (keeps the AI finding and transfers your photos) or Keep Both.
  • Keep or delete each finding individually, and link any unattached photos to the right finding.
  • Tap Accept All & Close when it looks right, or Later to come back to it.

iOS settings

Behavior settings

Open Settings from within the app to adjust how it behaves:

Chunk Mode
Choose how often speech is turned into findings — full area (default), on natural pauses, or on a timer.
Auto-Attach Photos
Queue new photos for the next finding created within a time window you set.
Keep Phone Awake
Prevent the screen from locking during an inspection.
Auto-Advance Areas
Move to the next incomplete area automatically when you complete an area (on by default). Turn it off to stay on the area you just finished.
Apple Watch haptics
Toggle watch haptics overall and per event, including an “only problems” filter. See the Apple Watch page for details.
Coming soon: The Auto-Check Items and Haptic Feedback toggles are visible in Settings but not yet wired up in the current beta — checklist auto-check and haptics are always on for now.

Areas & Checklists (your catalog)

Settings → Areas & Checklists opens your personal area catalog — the master list of areas and checklist items that new inspections draw from. Add, rename, reorder, or delete areas; edit each area’s checklist items; and mark which areas are Default (created automatically, in order, on every new inspection). Reset to Standard restores the built-in catalog at any time.

Note: Catalog changes apply to future inspections only — areas already on an inspection keep the checklist they were created with. The same catalog powers the web portal (Settings → Areas), and editing it requires a connection; offline it opens read-only.

Account & support

Your name, email, license, and company are managed in the web portal and shown here as read-only. Settings also includes the app tour, Report a Bug, the Privacy Policy and Terms, and options to sign out or delete your account.
