Team & Roles

PadInspector supports whole inspection companies. Owners, admins, and managers can invite teammates and control what each person can do.

Roles explained

Every member of your organization has one of five roles, from full control to read-only:

AdminBroad management access across the organization — everything except transferring ownership.
ManagerManages team members and can reassign and share inspections; no billing access.
InspectorCreates and works on inspections, findings, and photos.

Managing your team

Inviting members

From Settings → Team you can see everyone in your organization along with their role and status. The tab also shows your seat usage (“X / Y seats used”) — when every seat is taken, new invitations are blocked until you free a seat or upgrade your plan.

  1. 1Enter the new member’s email, choose their role, and send the invitation.
  2. 2Pending invitations appear in their own list with each one’s expiry date — team invitations are valid for 7 days.
  3. 3Revoke a pending invitation at any time. If one expires, revoke it and send a new one (invitations cannot be re-sent).

Who can do what

  • Inviting: owners and admins can invite admins, managers, inspectors, and viewers. Managers can invite inspectors and viewers. No one can invite another owner.
  • Changing roles: admins cannot change other admins or the owner; managers can only switch members between Inspector and Viewer; no one can change their own role.
  • Transferring ownership: assigning the Owner role to someone else transfers ownership — the previous owner automatically becomes an Admin.
  • Removing members: removal deactivates the member rather than deleting their data. The owner can never be removed, and you cannot remove yourself.

Viewing the portal as a teammate

Owners, admins, and managers can temporarily view the portal as any active member with a lower role — useful for troubleshooting what an inspector sees. Click the eye icon next to the member in the Team tab and confirm. While impersonating, an amber banner across the top reads “You are viewing the portal as {name}”; click Exit Impersonation to return to your own session.

Sharing & reassigning inspections

Managers and above can reassign an inspection to a different inspector, or share it with specific teammates at a chosen permission level, from the inspection’s detail page — or for several inspections at once with the bulk actions on the Inspections list. Shared teammates appear in the “Shared With” column on the inspection list.

Coming soon: A screen to review and remove existing shares is still in the works — for now, shares are visible in the “Shared With” column but can’t be revoked from the UI.
